How does the Biofuel Finder ‘E-Warehouse’ work?

Step by step process on how to use the ‘Outlet shop’

Step 1

Account Setup

Click the link to set up an account. Only members are able to purchase from our range of Low Carbon Fuel outlet products

Step 2

 Verification

We will just need to verify you using are know your customer KYC process. The process can take up to five working days

Step 3

Select a Fuel

Select a product from our shop by clicking the link to ‘Purchase’. Once order is confirmed you will get regular updates regarding it.

Step 4

Contact 

A customer service specialists will be happy to answer any questions you have

Delivery using pallet 

Depending on the delivery options advertised, most of our outlet products are sold either ‘Ex Works’ or delivered  ‘DDP’

Payment terms

Most transactions are payment before delivery

How to use Biofuel Finder ‘Industrial Fuel Search’

Step by step process on how to use the Biofuel Map Search for Industrial Grade Fuels

Step 1

Account Setup

Click the link to set up an account and become part of the Biofuel Finder Community. All members will have a unique user name to protect their identity

Step 2

 Verification

We will just need to verify your account using our Know Your Customer ‘KYC’ process. The process can take up to five working days

Step 3

Bid or Offer

Bid or Offer on our map and auction pages to gain access to a diverse range of buyer & seller members. Each fuel has its own unique reference number to support the auction process

Step 4

Contact 

If you have any questions about a fuel or one of the ‘value added services’ please do not hesitate to get in contact with one of our specialist account managers

Entity

You will either purchase or sell directly through the Biofuel Finder or one of the verified member companies. We value client confidentiality, so we only reveal members’ entity name upon written consent

Contracts

Some transactions will require a contract to be signed before execution

The Biofuel Finder platform has a preferred payment programme for all the products and services marketed on the platform

Membership Plan

Silver and Gold Memberships are currently free. Only Silver and Gold members will be able to use the ‘Industrial fuel Search’ and ‘Industrial Auction’

When you place an order through Biofuel Finder, you will receive regular email updates which will include photos of the product before dispatch and the order progress. You can also track your status at any time under “Transaction History.”

Below describes what each status means:

On-hold (Payment by Card or Invoice)

  • Your payment has been received, and your order is being prepared for dispatch

    This includes:

  • Verifying stock
  • Picking and packing your items
  • Organising shipping

It is possible at this stage to cancel your order by selecting ‘Refund’ found in your account settings.

Pending Payment – Still on Hold (Payment by Invoice)

  • Your order has been received, but no payment has been made yet.

  • If you selected invoice payment, it will remain in this status until Biofuel Finder confirms the invoice and payment is processed.

  • Awaiting payment confirmation

  • Stock allocation

  • Manual verification (e.g. invoice or delivery check)

    Email shall be send with invoice that requires payment within maximum of 72 hours. Once payment is confirmed/received, the order will move to “Processing.”

Processing

  • Your order has been confirmed and shipped using the appropriate transportation method.
  • Depending on the transport method, we will send you photos, videos, order updates and tracking details. Please ensure you are available to sign for the delivery.

OR

Cancelled

  • If you wish to cancel your order please ensure you have done this at the  ‘Processing’ stage. Select ‘Refund’ found in your account settings.

Completed

  • Your order has been shipped and marked as fulfilled in our system.

Q1. Are there delivery charges?
Shipping and handling fees are typically included in the online item cost but are set by the supplier. Costs vary based on product type and pallet size. Always review the final shipping details at checkout. Bare in mind that some products may have a different delivery terms and conditions.

Q2. What delivery methods are used?
Delivery may be fulfilled by truck, curtain sider, container, or dry/liquid bulk transport, as stated in the product description.

Q3. Postcode Restrictions
We currently deliver only to addresses within mainland UK. Ensure your postcode is accurate at checkout. International deliveries may become available in the future—sign up for our newsletter for updates.

Q4. Are there special requirements for receiving deliveries?
Yes. Please see Appendix 1 of our Terms of Sale for specific delivery requirements. Carriers may refuse delivery if these conditions are not met.

Q5. Why is my delivery delayed or not received?
Delivery delays can occur due to weather, holidays, or logistic issues. Check your “Order Status” or notifications for any updates explaining the delay.

Q6. How do I check my order status?
It may take up to 1–2 hours after checkout for an order to appear in your account. Log in to “My Account” and navigate to “Order Status” to track progress or view historical orders.

Q7. Why did I receive only part of my order?
Some orders involving multiple suppliers may arrive in separate shipments. Also, if an order was not fully completed at checkout, certain items may remain pending. Refer to “My Account” to verify order details.

Q1: Do I need to become a member of Biofuel Finder to place an order through the E-Warehouse?
A: Yes. You must hold a valid Bronze, Silver, or Gold membership (including any Pilot or temporary memberships) to access and purchase from the E-Warehouse.

Q2: Can members place orders outside the UK?
A: Currently, no. We are only accepting UK orders. Please sign up to our newsletter, which provides regular updates including when we will offer delivery outside of the UK.

Q1. Do I need to register to purchase a product?
Yes, in order to purchase a product from the Biofuel Finder E-Warehouse you must register here. This involves providing accurate information, agreeing to our verification process, and maintaining the confidentiality of your account credentials.

Purchasing Methods
You can purchase products directly through Biofuel Finder’s secure checkout or via approved third-party payment gateways, depending on the product listing. When using a third-party gateway, you may be redirected to an external site and should review their terms before completing your order.

Terms & Conditions
Please review our Website Policy, Terms of Sale (including E-Warehouse Terms & Conditions), and any supplier-specific terms before placing an order.

Order Commitment
By placing an order, you agree to receive the goods as described in the product listing. Orders are typically processed within 12–24 hours of confirmation and dispatched within 2–3 business days. If an item is out of stock, we will notify you within 72 hours to offer alternative options.

Payment
Most orders are payable by card. Some suppliers may request alternative methods, such as bank transfer or invoice.

You will receive an order confirmation email (this does not indicate acceptance of the order).

A second confirmation email will be sent upon acceptance of your order.

All payments must be completed in full before goods are shipped.

You own the product once full payment is received. 

Q1. What do I do if my product arrives and is damaged or there are any missing items?

  • Inspection: Please inspect all goods immediately upon delivery.
  • Documentation: If you notice any damage or missing items, please take clear photos or video.
  • Notification: Report the issue to us within 24 hours of delivery using our online support system or email. Attach the photo/video evidence.
  • Outcome: Upon validating the damage claim, we will coordinate a pickup of the damaged goods (where applicable). A full or partial refund may be issued depending on the issue.

 

• Biofuel Finder accept no refunds for products sold only exchanges or credit note available. Expectations for
refunds include missing quantity from the description or our third party is willing to offer a refund. If a cash
refund (method of original payment) is available this shall be stated in description of the product listing.
• Credit notes shall apply both the cost of return and processing bank fee (3%). 

 

Beware of Suspicious Emails: Do not share personal or payment information with unknown senders.

Fraudulent Orders: If you receive an order confirmation that seems suspicious, please contact us directly.
